Microsoft 365 Backup: Why Arizona Businesses Can’t Rely on Microsoft’s Retention Policies

Microsoft doesn’t back up your data. You do.

There’s a dangerous assumption most Arizona businesses make about Microsoft 365: they think Microsoft backs up their email, SharePoint files, and Teams data. Microsoft doesn’t. Not in the way you need.

Their native retention policies keep deleted items for 14-30 days depending on the configuration. After that, they’re gone. If you discover a critical email was deleted 60 days ago, or that ransomware encrypted your SharePoint library last month, Microsoft’s native tools won’t save you.

  • Accidental deletion: A staff member permanently deletes an email folder or SharePoint directory. After the retention window closes, it’s unrecoverable.
  • Ransomware: Attackers encrypt your OneDrive and SharePoint files. While Microsoft has version history, sophisticated ransomware attacks can exhaust those versions.
  • Departed employees: When you delete a former employee’s account, their mailbox and OneDrive data are purged after 30 days. Any client information in that account goes with it.
  • Malicious insiders: A disgruntled employee deletes files before leaving. By the time you notice, the retention window may have passed.
  • Compliance holds: Arizona’s ARS 18-552 and federal regulations may require you to retain data for years. Microsoft’s default retention doesn’t meet those requirements.
